As Team Head Admin (m/f/d), you’ll lead a dynamic team of administrative professionals at our Schaftenau site, driving operational excellence across local and global Biologics functions. This role offers a unique opportunity to shape administrative processes, support senior leadership, and coordinate high-impact projects and events. About the Role
Key Responsibilities:
- Lead and manage the administrative professionals team at the Schaftenau site.
- Coordinates and support the global Biologics leadership team with projects, events, and administrative tasks.
- Represent the team in the PSM extended leadership group.
- Provide general administrative support and maintain processes during team absences.
- Guide employees on organization-specific processes, guidelines, and services.
- Drive process optimization and implement new or improved procedures.
- Plan and execute administrative projects with defined scope and timelines.
- Oversee onboarding and supervision of new administrative staff and trainees.
Essential Requirements:
- Degree in administration, communication, marketing, or equivalent professional experience.
- Over 5 years in a similar role with strong knowledge of administrative processes and workflows.
- Proficient in Microsoft Office applications and digital collaboration tools.
- Fluent in English and German, both written and spoken.
- Proven problem-solving mindset with a focus on pragmatic, compliant solutions.
- Experience in cross-border collaboration and intercultural environments.
- Skilled in planning workshops, events, and coordinating external engagements.
- Demonstrated ability to lead initiatives and represent functions internally and externally.

In addition to a market-competitive base salary, we offer an attractive incentive program, a modern company pension scheme, childcare facilities, learning and development opportunities as well as worldwide career possibilities within the Novartis group. In accordance with Austrian law, we are obliged to disclose the minimum salary as stated in the collective bargaining agreement. For this position the minimum salary is € 65,605.54 a year (on a full-time basis). The actual salary will be significantly higher, as we strive to maintain a competitive position in the market and consider your previous experience, qualifications and individual competencies.
